Changeworks Recycling, one of Scotland’s largest environmental charities has switched to a pioneering Cloud-based Proof of Delivery solution to help them streamline operational efficiencies for waste recycling collections. The organisation has adopted PODFather Electronic proof-of-delivery (e-POD) ‘ticket’ delivery system on a Cloud-based platform to collate information at the completion of every successful logistics transaction.
PODFather enables Changeworks to resolve every job across its collection and distribution business. A signature on an Android/iOS-enabled device is all that is needed to bring the task to conclusion and allow a raft of real-time back office reporting, invoicing and delivery data to be collected, collated and archived.
Changeworks collects recyclable waste from over 30,000 client sites per month. Maintaining a 99.5% service record is a huge logistical task across its considerable fleet of vans and bin lorries, collecting everything from waste paper, food, cans and plastic bottles, to fluorescent tubes, printer cartridges and electrical waste. Most customers are on weekly, fortnightly or monthly collection cycles but ad-hoc collections are covered as well.
The logistics of managing this complex collection cycle has seen the organisation implement the PODFather system for both back-office logistics management and real-time tracking and electronic proof of collection through driver smartphones. The existing solutions didn’t allow for multi-person use and was limiting communications.
Using Tech to Meet Customer Needs
A spokesperson for Changeworks said: “The frequency of our service needs to match with our customer’s needs, which are dictated by volume and storage constraints. This means we have a highly variable uplift pattern.
“The challenge for us was to devise the most efficient way to manage and optimise our vehicle logistics. Furthermore, year on year, our customer base continues to grow, and we realised we needed to further enhance our reporting procedures and data management systems to both support our clients demands and continuously improve our own efficiencies.
“We had a bespoke legacy reporting system which was ten years old and by migrating to the PODFather system, we now provide fully traceable order processing, customer management, and invoicing systems.”
The charity’s drivers use PODFather to complete daily vehicle safety checks, download route manifests, and confirm details of how much and what type of waste is collected at each customer site. The driver-collected data is available to the office staff in real-time and eliminates the need for manual re-entry of data, gives greater accuracy of invoices, reduces invoice queries and ultimately, improves cash flow.

The entire management team can review an assortment of vital data, reporting for example, the type, value and volume of recyclables collected on a daily or weekly basis and this reportage is a core element in how we understand what our customers’ requirements are.
